Why Domain Validation Is Required
Any domains you add must be validated to keep your domain safe for Poppulo and confirm ownership. By adding a Trusted Sending Domain, your organization has full control over the domains you want to use and security is maintained by preventing unauthorized use of someone else’s domain. It ensures no one else can use your domain with Poppulo.
How we validate a Trusted Sending Domain
Domain validation is done through a DNS TXT record. A TXT record is a type of entry in your domain’s DNS (Domain Name System) settings that allows domain owners to store text-based information. This mechanism serves as proof of possession, confirming that you are authorized to use the domain.
When you add a domain, you’ll be provided with a unique TXT record value. This value needs to be added to the DNS settings for that domain.
Once the TXT record is in place, we will validate that this belongs to you. If it matches the expected value, the domain will be marked as validated.
Steps to Validate a Domain
- Contact your Administrator
- Your Administrator will contact Poppulo Support to request that your domain is added.
- Receive TXT Record Details
- Poppulo Support will provide a TXT record name and a TXT record value for the domain.
- Access Your DNS Management Console
- Log in to your DNS provider’s management console (this may be managed by your IT, DevOps, or a similar team).
- Create the TXT Record
- Add a new TXT record using the details provided by Poppulo Support.
- Save Your Changes
- Ensure the TXT record is saved correctly in your DNS settings.
- Validation by Poppulo Support
- Poppulo Support will check for the TXT record.
- Note: Although DNS changes usually take effect within minutes, they can take up to 48 hours to fully propagate.
- Only domains that have been pre-configured for your organization can be used in the To and Reply From fields.
- If you intend to use a domain that has not yet been configured, please contact your administrator to request that it be added to your account settings.
- Generic domains such as Hotmail, Gmail, Test, and iCloud are not supported as they do not belong to your organization and cannot be validated for secure use.
Things to Keep in Mind
- DNS propagation time: Some providers update almost instantly, while others may take up to 48 hours.
- Multiple domains: Each domain added will require its own TXT record validation.
- Accuracy: Ensure there are no typos or extra spaces when copying the TXT record value.
